Cancellation & Refund Policy
Our cancellation and refund terms explain how cancellations, amendments, refunds and changes to travel arrangements are handled.

Cancellation and refund conditions vary depending on the services included in a booking. Hotel, ferry, transport and activity suppliers may each have their own cancellation rules.
This policy applies to travel arrangements booked through Kalapani Holidays and should be read together with our Terms & Conditions .
The cancellation conditions applicable to a particular booking will depend on the services confirmed, the date of cancellation and the terms imposed by the relevant service providers.
02. Booking Advance & Confirmation
A booking is confirmed only after the required payment has been received and the relevant services have been confirmed.
Advance payments may be used to secure hotel rooms, ferry tickets, vehicles, activities or other travel services.
Once a service has been confirmed, cancellation charges may apply according to the applicable supplier's policy.
03. Customer Cancellation
Cancellation requests must be submitted to Kalapani Holidays in writing through the communication channel used for the booking, such as email or WhatsApp.
The cancellation date will generally be considered the date on which the cancellation request is received by Kalapani Holidays.
Cancellation charges will be calculated based on the applicable booking conditions and the cancellation policies of the suppliers involved.
A cancellation request does not automatically mean that the entire booking amount will be refundable.
04. Hotel Cancellation
Hotel cancellation charges are governed by the cancellation terms of the respective property and the rate plan booked.
Some hotels or special-rate bookings may be partially refundable, fully refundable within a specified period, or non-refundable.
Any applicable hotel cancellation charges will be deducted from the refundable amount.
Hotel-specific terms communicated at the time of booking will take precedence where applicable.
05. Ferry / Cruise Cancellation
Ferry and cruise tickets are subject to the cancellation, refund and amendment rules of the respective operator.
Once tickets have been issued, cancellation charges may apply depending on the operator's applicable policy.
Ferry schedules may also change due to weather, sea conditions, operational reasons or government directions.
Where a ferry operator cancels or modifies a sailing, any refund or alternative arrangement will be subject to the operator's applicable rules.
06. Activities & Water Sports
Scuba diving, snorkeling, kayaking, water sports and other activities are subject to the policies of the respective activity operator.
An activity may be cancelled, postponed or restricted because of weather, sea conditions, safety requirements or operational reasons.
Refunds or alternative arrangements in such circumstances will depend on the activity operator's applicable policy.
If a guest voluntarily chooses not to participate after the activity has been confirmed, applicable cancellation charges may apply.
07. Transportation
Airport transfers, sightseeing vehicles and inter-island transportation may be provided through independent transport partners.
Cancellation charges may apply once vehicles have been allocated or confirmed.
Additional costs may arise where a guest requests changes to vehicle arrangements, timings or routes after confirmation.
08. Date Change & Rescheduling
Requests to change travel dates are subject to availability and supplier approval.
Rescheduling may result in additional charges due to revised hotel rates, ferry fares, transportation costs, activity charges or other supplier fees.
A date change is not considered confirmed until Kalapani Holidays provides written confirmation.
09. No-Show & Early Departure
If a guest does not arrive for a confirmed service without prior notice, the booking may be treated as a no-show.
No-show charges are determined by the applicable supplier policies and may result in partial or complete loss of the booking amount.
Early departure from a hotel or shortening a confirmed itinerary does not automatically entitle the guest to a refund.
10. Weather & Operational Disruptions
The Andaman Islands are affected by weather and sea conditions that may occasionally disrupt ferry services, sightseeing and water activities.
If a service is affected by weather or an operational disruption, Kalapani Holidays will make reasonable efforts to assist with available alternatives.
Any refund, rescheduling or alternative service will remain subject to the policies of the relevant supplier.
11. Force Majeure
Events beyond reasonable control may affect or prevent the delivery of travel services.
Such events may include cyclones, extreme weather, heavy rainfall, rough seas, natural disasters, government restrictions, strikes, civil disturbances, epidemics, transportation disruptions or other unforeseen circumstances.
In such circumstances, refunds or alternative arrangements will be handled according to the applicable supplier policies.
12. Refund Processing
Where a refund is approved, the refundable amount will normally be calculated after deducting applicable cancellation charges, supplier penalties, non-refundable components and other applicable charges.
Refund processing time may vary depending on the service provider and the payment method used for the original transaction.
Refunds will generally be processed through the original payment method wherever practical.
The final refundable amount will be communicated after the applicable supplier cancellation terms have been reviewed.
13. Non-Refundable Services
Certain travel services may be non-refundable once confirmed or issued.
- Non-refundable hotel rates.
- Certain issued ferry or cruise tickets.
- Special promotional or discounted rates.
- Certain activity bookings.
- Supplier charges that are expressly non-refundable.
If a component of a package is non-refundable, that amount may be excluded from any refund available to the guest.
14. Special & Peak Season Bookings
Bookings made during peak periods, holidays, festivals, long weekends or special events may be subject to stricter cancellation conditions.
Any special cancellation conditions applicable to such bookings will be communicated during the booking process where available.
15. B2B / Agent Bookings
Cancellation and refund conditions for B2B or travel-agent bookings may differ from direct customer bookings.
The cancellation terms communicated in the applicable B2B quotation, rate sheet or booking confirmation shall apply to that booking.
Agents are responsible for communicating the applicable cancellation conditions to their clients.
16. How to Request a Cancellation
Cancellation requests should be sent to Kalapani Holidays as soon as possible.
Please include the following information:
- Guest / booking name.
- Booking reference, if available.
- Travel dates.
- Cancellation request.
- Contact number used for the booking.
Our team will review the booking and communicate the applicable cancellation charges and refundable amount.
